Which identification documents are necessary for securing a Virtual Address from your organization?
Please refer below for our provided list for verification:
1- ID Verification
We accept any one of the following documents as photo ID:
- Passport in any language.
- Driving License in any Language.
- National ID card in any language.
2- Proof of Residential Address
Any one of the following documents in any language is acceptable:
- Bank statement dated within the last 3 months.
- Utility bill dated within the last 3 months.
- Credit Card Statement dated within the last 3 months.
- Tax documents dated within the last 12 months.
- National ID Card with residential address printed on it.
- Passport with residential address printed on it.
- Driving license with residential address printed on it.
- TV license dated within the last 12 months.
- Council tax bill dated within the last 12 months.
3- Authorization letter (Template will be provided after the subscription)
4- Selfies:
- Selfie with holding photo ID.
- Selfie With holding the signed paper.
- Selfie with holding the authorization letter.
Documents do not require certification or notarization, and we accept bills/statements downloaded from online portals. Mail handling services for any of our virtual address packages cannot be activated until photo ID, Authorization and proof of address documents are received.
Is the unique Virtual Office address will be provided?
Yes, indeed. Every customer is provided with a personalized virtual office number, ensuring your business maintains its individuality and remains unaffected by other companies sharing the same business center address.
How will be I informed when post arrives for me on my virtual address?
When we receive letters or parcels for you, an automated email notification will be sent to alert you. Following this, you’ll have the opportunity to log into the customer admin area and specify how you’d like to access your post, whether through scanning or forwarding. The choices at your disposal will be contingent upon the features incorporated into your virtual office package.
How much size and weight can my letters and parcels have?
Items must not weigh more than 10kg or be larger than the dimensions of a 14 x 8 x 5″; otherwise, they will be declined. Free forwarding is available only for items weighing 100 grams or less (see point 6 below).
What is the procedure if my letter or parcel weighs more than 100 grams?
(a) Letters:
- If necessary, we can consolidate all your letters into one envelope.
- Email us to inquire about dimensions, weight, collection address, and the earliest collection date
- We will provide you with all relevant information to facilitate booking your post collection via courier (at your own expense).
- There will be a £5 fee per consignment to cover time, administration, packaging, and printing.
- A consignment can consist of one letter or a group of letters placed in one envelope, requiring only one £5 fee. This approach also helps you save on courier charges.
- Once we hand over the letter(s) to the courier, it becomes your responsibility to communicate with the courier, track your item, and address any concerns directly with them. We do not accept liability for lost or damaged items.
(b) Parcels:
- Whenever feasible, we may consolidate all your parcels into one box.
- Email us to request information on dimensions, weight, collection address, and the earliest collection date
- We will furnish you with all necessary details to arrange your post collection via courier (at your own expense).
- There will be a £7.5 fee per consignment to cover time, administration, packaging, and printing.
- A consignment may include one parcel or a group of parcels packed into one box, or several parcels destined for the same address during the same collection (e.g., parcels 1 of 2 and 2 of 3). In such cases, only one £7.5 fee is due to us. This method also helps you save on courier charges.
- Once we hand over the parcel(s) to the courier, it becomes your responsibility to communicate with the courier, track your item, and address any concerns directly with them. We do not accept liability for lost or damaged items.
Will my post be forwarded to me for free, regardless of its size and weight, and what service will you use?
If your subscription plan incorporates complimentary mail forwarding, we’ll send items weighing up to 100 grams for free via Royal Mail’s cheapest service. Tracking isn’t included, and we don’t assume responsibility for undelivered post. Additional charges apply for tracked delivery—refer to point 7 below.
How can I receive my post with tracking and guarantee? What choices do I have?
For items weighing up to 100 grams, we’ll utilize the most economical service available to send your item globally via Royal Mail. Tracking and insurance aren’t included, and we disclaim responsibility for undelivered items. If you prefer faster delivery or require tracking and a delivery guarantee, you can arrange your own courier following the guidelines below.

If I forget to include my office number on my mail or register my business without the assigned office number, what are the consequences?
Mail must be addressed with the unique virtual office or Suite number we provide; failure to do so will result in rejection. This policy protects our master address from potential blacklisting and assists in fraud prevention by indicating the use of a business address rather than a residential one.
Is there the option for me to upgrade or downgrade my package at any time I desire?
If you are paying us quarterly:
- You can upgrade your package at any time by logging into your customer portal. The payment for your previous package will be refunded to you pro rata.
- You can downgrade your package only at your quarterly billing date by giving us a minimum of 7 days’ notice from your quarterly billing date. Your quarterly billing dates can be seen in the customer log in area. To downgrade simply email customer services.
If you are paying us annually:
- You can upgrade your package at any time by logging into your customer portal. The payment for your previous package will be refunded to you pro rata.
- You can downgrade your package only at your annual billing date by giving us a minimum of 7 days’ notice from your annual billing date. Your annual billing date can be seen in the customer log in area. To downgrade simply email customer services. You cannot downgrade or ask for a pro rata refund midway through your annual subscription.
